Purpose
This procedure is used to upload Branch Budget details from a file created outside of the system. This is an alternative way of adjusting budgets to the standard system functions for creating and editing a sales budget. Using this method a “spread-sheet” style tool can be used to adjust the budget figures with the ease of formulae and quick data entry before the list is ready for upload.

Data Input
Step 1 – Upload File
Branch Budget Upload File
Select the spread sheet file you wish to upload, by clicking Browse. This assumes you have access to the file with the branch budget details from the browser you are currently using.

Step 2 – Verify File Details
The budget details of the spread sheet are displayed so that you can review the data and confirm that the correct file has been uploaded before you continue.
Click Submit to submit all the details.

Spread sheet format
The spread sheet must be in a csv format.
The first row of the spread sheet must be a heading row – it does not matter what the headings are, as long as they are meaningful to you e.g. you could have ‘Product Group’, ‘Group’ or ‘PGRP’.
Columns for all 12 months budget must be present – even if you are not filling up for all the months.
The columns required are:

A | Product Group | Must be a valid product group on the Product Group Master file. |
B | Branch Code | Must be a valid Branch on the Branch Master file.There should be no duplication of the same Branch and Product Group Code. |
C | Margin Percentage | Must be a numeric value. |
D | Budget Sales Value Month 1 | Must be a numeric value. |
E | Budget Sales Value Month 2 | Must be a numeric value. |
F | Budget Sales Value Month 3 | Must be a numeric value. |
G | Budget Sales Value Month 4 | Must be a numeric value. |
H | Budget Sales Value Month 5 | Must be a numeric value. |
I | Budget Sales Value Month 6 | Must be a numeric value. |
J | Budget Sales Value Month 7 | Must be a numeric value. |
K | Budget Sales Value Month 8 | Must be a numeric value. |
L | Budget Sales Value Month 9 | Must be a numeric value. |
M | Budget Sales Value Month 10 | Must be a numeric value. |
N | Budget Sales Value Month 11 | Must be a numeric value. |
O | Budget Sales Value Month 12 | Must be a numeric value. |

Updating
Once you click submit, the rows on the spread sheet are validated.
If no invalid data is detected, the budget cost value is tabulated, based on the sales value and margin percentage. The details are updated to the “New” Sales Budgets function in the system. The “New” Sales Budget functions are a “work” area. You must convert from work budgets to actual budgets before budgets are applied. See related topic: Sales budgets.
