Purpose
This procedure is used to upload Product Web details from a file created outside of the system for existing products. This is an alternative way of entering these details and is useful where you are updating large volumes of new data. Using this method a “spread-sheet” style tool can be used to create a list of products you want with web details as needed.

Data Input
Step 1 – File Upload
Upload File
Select the spread sheet file you wish to upload, by clicking Browse. This assumes you have access to the file with the new data from the browser you are currently using.

Step 2 – Review details
The details of the file selected are displayed so that you can review the data and confirm that the correct file has been uploaded before you continue.
Click Submit to submit all the details.

Spread sheet format
The spread sheet must be in a csv format.
The first row of the spread sheet must be a heading row – it does not matter what the headings are, as long as they are meaningful to you e.g. you could have ‘Product’, ‘Product Code’ or ‘SKU’.
The columns required are:

A | Product Code | The code for the product that is to have the web details updated. Mandatory. Must be an existing product. |
B | Web Description | A description of the product. This description appears in e-commerce web pages. Optional. |
C | Web Image | A file name for an image of the product. The image needs to be uploaded to the server separately. Optional. |
D | Material Code e.g. ‘Brand’ | This is an optional field that can be configured to suit your needs. The default configuration is for this data to be uploaded to the Product ‘Material’ field. Contact support if you require a different field to be updated. The data in this field is validated i.e. the Material code must already exist. |
E | Index | This is optional. Only one index may be uploaded via this utility. If you require multiple indexes then use the Product Index Upload tool. The index must already exist prior to upload. If you leave this column blank, all indexes on the product are removed. |
F | Web link 1 text | Optional. This is text that appears on the product web detail view that leads the user to another web page via a link. |
G | Web link 1 | Optional. This is the link behind the corresponding “Web link 1 text”. |
H | Web link 2 text | Optional. This is text that appears on the product web detail view that leads the user to another web page via a link. |
I | Web link 2 | Optional. This is the link behind the corresponding “Web Link 2 text”. |
J | Web link 3 text | Optional. This is text that appears on the product web detail view that leads the user to another web page via a link. |
K | Web link 3 | Optional. This is the link behind the corresponding “Web Link 3 text”. |
This upload tool allows you to upload 3 web links per product. The upload overwrites any existing details each upload.
Updating
Once you review the details and click submit, the rows on the spread sheet data are uploaded and validated. If no invalid data is detected, products are updated with new web details.
NOTE: Each update replaces the web details that were already on the product. The upload function does not append details like web links or indexes to an existing list. Where columns are left blank, the original data is retained i.e. data is not cleared when a column is left blank.
