Purpose
This procedure is used to upload and update new product transfer details from a file created outside of the system. The reasons you might need to transfer a product can be varied, but some examples are:
- Product Code is incorrect i.e. set up under the wrong code
- Need to merge two codes into one (e.g. same product, different supplier)
- Product old/no longer wanted
- Changes to size/colour coding

Data Input
Step 1 – Upload File
Upload File
Select the spreadsheet file you wish to upload, by clicking Browse. This assumes you have access to the file with the product transfer details from the browser you are currently using.

Step 2 – Verify file details
The new product transfer details of the spread sheet are displayed so that you can review the data and confirm that the correct file has been uploaded before you continue.
If you want to append to product transfer details already entered (or previously uploaded), then leave the ‘Clear Previous Transfer Data’ check box un-ticked. If you want to override any previous product transfer details, then tick this box. If appending to the current list of products to transfer, duplicates will not be added and if found, the upload will not proceed.
Click Submit to submit all the details.

Spread sheet format
The spread sheet must be in a csv format.
The first row of the spread sheet must be a heading row – it does not matter what the headings are, as long as they are meaningful to you e.g. you could have ‘Product’, ‘Product Code’ or ‘SKU’.
The columns required are:

A | From Product Code | Must be a valid product on the Product Master file.This column cannot be left blank. |
B | To Product Code | This column cannot be left blank. You may input a new product code in this column. |
C | Transfer Flag | Enter “Y” or leave blank. |
D | Merge or Delete | Enter “M” or “D” or leave blank.
“M” is the default |
E | From Size Code | Must be a valid size on the Size Master file. This column cannot be left blank. You may enter * in this column to represent all the size codes (All). You may enter – (hyphen) in this column to represent ‘no size’ (None). |
F | To Size Code | Must be a valid size on the Size Master file. This column cannot be left blank. You may enter * in this column to represent all the size codes (All). You may enter – (hyphen) in this column to represent ‘no size’ (None). |
G | From Colour Code | Must be a valid colour on the Colour Master file. This column cannot be left blank. You may enter * in this column to represent all the colour codes (All). You may enter – (hyphen) in this column to represent ‘no colour’ (None). |
H | To Colour Code | Must be a valid colour on the Colour Master file. This column cannot be left blank. You may enter * in this column to represent all the colour codes (All). You may enter – (hyphen) in this column to represent ‘no colour’ (None). |
Updating
Once you click submit, the rows on the spread sheet are validated.
If no invalid data is detected, the list of products to transfer is updated. This list is processed next time the Product Transfer function is run as part of overnight EOD processing.
