Purpose
This option allows you to add ‘Text’ line items to an order. The text entered is free-form and multi-line input and has no restriction in terms of the total length of the text entered. Essentially this means there is no theoretical limit to the number of lines of text that can be entered in each ‘Text’ line item. There is also no limit to the number of ‘Text’ line items you can have on an order, in theory. Text lines can appear at the start, end or anywhere in amongst the other items on an order.
It should be noted that text line items are not related to any particular product or other line item on the order. They just appear at a particular sequence in the order of line items based on where you insert/add them in on the order. Note also that if an order cannot be filled completely on the 1st attempt, these text lines will appear on the 1st despatch docket/invoice produced but will not be shown on any subsequent back-orders or despatch dockets/invoices produced for this order.
If you are after text that stays with a line item and always appears with that item regardless of its status i.e. Back Order, Re-order etc. then you should use the “Notes” text often referred to as “Line Item Text” which is entered along with the product/service/charge details always recorded against the line item.
Data Input
Text
Enter any ‘Text’ that relates to the order. The text entered appears on all order documents such as picking dockets, packing slips, despatch dockets, customer invoices as well as all order related display functions in the system that show the line items of an order/transaction.
Record on this Despatch
This option is only available in the ‘Specified Despatch’ function and is relevant when despatching an order in ‘parts’.
Select this option to cause the entered text to be included on the current despatch. The text will appear on the despatch docket and invoice for the despatch.
Leave on Original Order
This option is only available in the ‘Specified Despatch’ function and is relevant when despatching an order in ‘parts’.
Select this option to cause the entered text to be retained on the original order, ready for the next part despatch.
With both ‘Record on this Despatch’ and ‘Leave on Original Order’ options selected the text appears on the current despatch and subsequent despatch.
Examples:
- Some informational text about setup fees may be required on the paperwork of the first part despatch, but not subsequent despatches, in which case you would select ‘Record on this Despatch’ and not select ‘Leave on Original order’.
- Some informational text about delivery fees may be required on the paperwork of every part despatch. In this case you would select both ‘Record on this Despatch’ and ‘Leave on Original Order’.
