Purpose
This procedure is used to adjust certain details on the Accounts Payable Ledger, such as the reference, due date, discount or the hold payment status.
This procedure allows you to change the Due Dates on transactions on a Supplier’s ledger. It will automatically adjust the Online Advantage Cash Forecast reporting, as well as change when this item will be selected on payment runs.
Data Input
Step 1 – Supplier
Supplier Number
Enter an existing Supplier for which you want to adjust the details.

Step 2 – Details
After nominating the supplier, the outstanding “open item” ledger items for the supplier are displayed in a list. The status either indicates that the transaction is awaiting payment, on a Cheque Run, or has a Hold Payment code against it. Click on the item to adjust the details.
Date
You may change the date of Invoice and Return transactions only. When you change a transactions date, you will be asked if you want the system to recalculate the due date for payment based on the new transaction date.
Transaction Month
You may only change the transaction month if the transaction has not been processed through an End of Day procedure yet.
Terms
The supplier terms are displayed for reference.
Reference
You may change the reference details of the selected transaction if required.
Due Date
You can adjust the due date for the item i.e. the date you would like this transaction to be selected for payment by Online Advantage. Additionally, this date is used by all Cash Flow reporting performed with Online Advantage.
Discount
Adjust the amount you wish to discount this item when payment is processed. Discount is not allowed for foreign supplier and is only applicable to ‘Invoice’ transactions.
Status
Select the status of the transaction. If the transaction is already on a payment run, the status shows the payment run number, otherwise the status shows any current Hold Payment reason. You may add a Hold Payment reason to prevent an invoice being added to the next payment run. You can also remove a Hold Payment reason so a previously held invoice will get picked up on the next payment run.
