Reason for Return Details

Return Reason Code

Return Reason code can be numeric or alpha.

Reason For Return Name

Name

Enter the Return Reason Name.

The name appears on Order Statistics and Return Reason reports and in Credit Note entry.

Reason to use for Exchange item on a Return

This is not input. It’s an indicator and shows ticked when the Return Reason is the designated ‘exchanged item’ reason.

Return To Stock?

Update Stock?

Select Yes to return stock to inventory or No if stock is to be written-off to a specific General Ledger account.

If the reason for the credit was because the stock was the wrong colour, then you would choose “Yes” to update stock and return the items to inventory.

If the reason for the credit was because the item was damaged, then you would choose “No” to update stock so a stock write-off posting is made to General Ledger.

If you choose “No” to Update Stock, then you are required to enter the following additional prompts:

Account

Enter the General Ledger account to write stock off to. When a credit is processed, if stock is being written off there needs to be a posting to an appropriate Cost of Sales or Expense account so that there is a proper two sided General Ledger transaction created as part of the Stock Write-off. You may need to seek assistance from your Finance people on which account to use here for different situations.

Branch

Enter the Branch code to write stock off to. This entry is optional. When left un-selected the system will select the appropriate Branch to use for the posting based on the Customer or Stock Location specified on the transaction.

Division

Enter the Division code to write stock off to. This entry is optional. When left un-selected the system will select the appropriate Division to use for the posting based on the Customer or Product specified on the transaction.

Update Usage

With this optional entry you can tell the system if you still want the ‘Stock Usage’ usage figures to be updated with returns marked with this reason. This allows you to reverse out the previous stock usage recorded from an invoice with the quantity of the return if required. Ticking the box signifies that ‘Stock Usage’ will be updated.
