Overdue Reminders – with preview

This is a debt collection tool that helps you to send a reminder to your customers that their account is overdue.

The reminder is sent as an email with an interim statement attached.

The subject and body of the email is chosen at the start of the process from 1 of up to 5 levels of reminders.

Before using this process, make sure you go to Standard Stationery Messages and set up the reminder email subject, body and ‘from’ email address details. Look for ‘Overdue Reminder n’ in the list of available email templates.

Note: if you want to schedule overdue reminders monthly (for example), use the Overdue Reminders – schedule option. This preview option can be used to work out the filters required for a scheduled run if required.

Running the process

Step 1 is to choose the reminder email template (as set up in Standard Stationery Messages).

Step 2 is to enter your selection criteria. At lease one of the filters must be an ageing period or the account balance filter. For example, select customer accounts with a 120+ day balance greater than zero.

Step 3 is to preview and confirm selections. Tick the accounts you want to include, untick the accounts you don’t want to send a reminder to. Note that the list presented may already show some accounts as unticked (don’t send a reminder). This may be due to the account being flagged as ‘never send a statement’ or that there may be no contacts set up to receive statements via email.

Step 4 confirm selections by clicking the ‘Submit’ button. Once you click submit, an interim statement is generated for each account included and, if the account’s statement print flag allows, and there is a valid email destination, an email with the chosen cover email and statement attached are sent immediately. A report is also produced with a list of accounts sent a reminder and a list of accounts not sent a reminder for your reference.
